Google Workspace Support

Backup

Backup Tasks

Create backup tasks to protect one or more Google Workspace domains. Customizable settings include:

  • Backup scope: Individual user services or shared drives
  • Automatic discovery and protection of newly added:
    • Domain users
    • Shared drives
  • Backup modes: Scheduled, manual, and continuous
  • Retention policies: Keep versions for a specified period or keep all versions

Backup Limitations

Some objects are not backup-compatible or may be renamed or converted to another format under certain circumstances:

  • Files or folders are not backed up, or are skipped, when the DSM file/folder path exceeds 4,016 characters.
  • For compatibility reasons, files or folders may be renamed during backup under the following circumstances. Their original names and paths will remain unchanged in the Active Backup for Google Workspace Portal:
    • Files or folders whose names or paths contain #SynoVersionRepo, #SynoRepo, or #SynoVersions
    • Files or folders with names that exceed 255 characters on the backup destination
    • Files or folders with names that exceed 143 characters on an encrypted backup destination
  • Online application conversion:
    • Google Docs files are backed up as .docx and restored as Google Docs.
    • Google Sheets files are backed up as .xlsx and restored as Google Sheets.
    • Google Slides files are backed up as .pptx and restored as Google Slides.
    • Google Forms files are backed up as .zip and restored as .zip; files larger than 10 MB cannot be backed up.
    • Google Drawings files are backed up and restored as .jpeg.
    • Google Apps Script files are backed up and restored as .json.
    • Google Jamboard files are backed up and restored as .pdf.

Restore

Portal Access

Administrators and end users can sign in to the Recovery Portal with different levels of access to backup data.

  • Administrators: Restore or export backup data for all users.
  • End users: Restore or export only their own backup data.
    • Portal sign-in: End users can sign in to the Recovery Portal using their Google Workspace credentials when the Synology NAS is joined to Google Secure LDAP.

Restore and Export

  • Drive
    • Supports restoration of selected files/folders, including their file sharing permissions.
    • Supports exporting individual files or folders.
    • Supports searching by file name.
  • Mail
    • Supports restoration of selected emails, all emails with the same label, or an entire account mailbox.
    • Supports exporting selected emails as .eml files.
    • Supports previewing email content before restoring or exporting.
    • Supports searching by sender, recipient, subject, keyword, date, and attachment content. Supported attachment file types include:
      • .page/.key/.numbers
      • .rtf
      • Microsoft Office formats (e.g., .docx/.doc,.pptx/.ppt), except Microsoft Excel formats (.xlsx/.xls)
      • Text files (e.g., .cpp, .c, .txt)
      • .epub
      • .lit
      • .mobi/.azw3/.pdb/.prc
      • .pdf
      • .rar
      • .chm
      • .slk/.gnumeric
      • .eml/.msg
      • .7z/.bz2/.gz/.zip/.tgz/.tbz/.tar
  • Contacts
    • Supports restoration of selected contacts.
    • Supports exporting selected contacts as .csv files.
    • Supports previewing contact information before restoring or exporting.
    • Supports searching by email address.
  • Calendar
    • Supports restoration of selected calendar events.
    • Supports exporting selected calendar events as .ics files.
    • Supports searching by organizer, title, or location.

Restoration Limitations

  • Unsupported scenarios:
    • Cross-domain restoration is not supported.
  • Content search limitations:
    • Regular expressions are not supported.
    • Emojis are not supported.
    • Symbols such as @, #, *, /, \, and punctuation such as !, ?, and : are not supported.
    • Dates such as Birthday, Anniversary, and Other in Google Contacts are not searchable.
    • The following stop words are ignored regardless of case: a, an, and, are, as, at, be, but, by, for, if, in, into, is, it, no, not, of, on, or, such, that, the, their, then, there, these, they, this, to, was, will, and with.

Management and Monitoring

  • Supports deletion of backup data by user or shared drive.
  • Displays real-time and historical backup status, storage consumption, and data transmission history.
  • Sends notifications for completed, failed, or canceled tasks and insufficient storage.
  • Records backup, restoration, and setting change logs.

Storage Efficiency

Reduce backup storage usage with single instancing and block-level deduplication.

  • Single instancing: Files with identical content are transferred once and stored as a single copy on the Synology NAS.
  • Block-level deduplication: Files stored on Btrfs volumes, except encrypted shared folders, are deduplicated across previous versions.
  • Supported data reduction methods by service:
    • Drive: Single instancing and block-level deduplication
    • Mail: Single instancing for attachments
    • Contacts: Not supported
    • Calendar: Single instancing for attachments
